I'm using Access 2007 and Vista and my data keeps
disappearing...
Yep, Microsoft is once again trying to protect
us from ourselves. To that end, they don't trust any database that is
opened in Access 2007 (even the copies it created) so each user must
tell Access that the DRD database is ok. According to a local Microsoft person, these
are the instructions. This is based
on no entries in the database yet - if there are entries, you will have to
take the database with data and name it as the original one so the shortcut
points to it and Access opens the correct database copy.

IF ON A SERVER or NETWORK, there is another
box that says "allow trusted location on my network" - check that box. It
also says "this is not recommended" but it's ok to do
Now the shortcut should work on the desktop
also

Can I load the same
program on more than one computer?
It is possible – but don’t.
Besides violating the license agreement, each Location database assigns a unique
beginning record ID #. For example, Location 1 starts with 100,000; Location 2
= 200,000; Location 3 = 300,000 and so on. CRWRC records start with 10,000.
The reason for this uniqueness is to protect the records from incorrectly
merging client data when the Importing Master is used to combine data from
different machines. If 2 machines have numbers that start with the same number,
it will attempt to combine data from different clients.

Can I load the database anywhere?
When the database is loaded, it
will create and move files and programs to assigned directories on the C drive.
The macros for importing and exporting files are looking in these specific
directories for specific files. This must be taken into account when networking
the database.
When the Importing Master is
loaded on the same machine as a Location database, BACKUP first! When
installing the Importing Master, if it asks if you want to uninstall the
program, STOP and call tech support. If you answer yes, it will uninstall your
Location database. This has been corrected but may still exist in some
Importing Masters already in the field.

What is a "Thrivent" member?
Thrivent Financial for Lutherans provides funding to some Lutheran responses.
This field identifies clients or volunteers who are members of Thrivent
Financial for Lutherans and is to aid in creating reports to Thrivent. Another
field is used for other fraternal organizations that provide funding and need
reports.

The Database will
not open or error message “The
Visual Basic for Applications project in the database is corrupt" appears which
means that an earlier version of ACCESS is loaded
Solution: verify that Office 2003 is being used. HELP,
ABOUT… will tell the version loaded. If the version is correct, try
uninstalling the database and reinstalling.
To uninstall, START, PROGRAMS, DISASTER RESPONSE DATABASE,
UNINSTALL
To reinstall, simply place the CD back in the drive and
close the door.
Microsoft
Office® 2003 may not be installed properly. To verify which version of
Office you are using, go to HELP, ABOUT... to see which version you have
installed.
If
the version is correct, try uninstalling the database and re-installing it. To
uninstall, click on
o
START
o
ALL PROGRAMS
o
DISASTER RESPONSE DATABASE
o
UNINSTALL
To
re-install again, simply put the CD back into the drive and close the door. It
will load again automatically. If a message referring to a "key value" appears,
simply click IGNORE and continue.
If
the program still doesn't work, you may have to uninstall and re-install the
ACCESS program.

Check the date and time on your computer and adjust as necessary.

"Invalid argument" message is displayed or Data is changed to gibberish
This
message will appear when clicking on a menu item such as selecting a report to
print. This is caused by invalid data entered into some field of the database.
Check the most recent records first for correct data in a field. Change or
delete the record as necessary. (If you delete a record, remember to create a
new record for it again).
This
may be caused by not using the "click here before leaving" box on the database
screens. It can also be caused when the client ID number is manually changed on
any of the forms such as construction or dependents. In the normal course of
entering data, DO NOT CHANGE CLIENT ID#!

"Control can't be
edited, bound to unknown field" message appears
You
are attempting to enter data directly into the Needs Assessment portion of the
Disaster Response Database. This is not allowed until data is imported from the
CRWRC Needs Assessment Database. Contact the Christian Reformed World Relief
Committee (CRWRC) at 1-800-848-5818 to inquire about using this database.

When I use “print screen” it prints many extra pages
The database has margins on the
screens, thus the extra pages of print. Use the report “Complete printout of
client record” for printing information entered into the database.

The macro failed when attempting to import CRWRC data.
1.
Loading the database initially was not completed and the CRWRC file is
not present.
2.
The macro run previously and failed so files are now missing.

Totals for
volunteer reports are incorrect
Reports asking parameter dates select records with arrival dates that fall
within the parameter dates. If the "Arrival Date" field is empty, it will
not select that record for the report.
Grand totals on some reports count the number of records using the "Birth date"
field. If the birth date field is empty, it will not count the record in the
grand total. If you don't have a birth date for a volunteer, simply put
one in. Using the same one will make it easier identify as a "filler" and
will also give you correct grand totals.

Error message "There was an error executing this command" appears when
attempting to print reports.
This message appears because the
button for "Step 1: Import CRWRC data" was inadvertently clicked, deleting the
agency branding that appears on each report. To correct this problem,
please call 1-800-950-2901 for step-by-step guidance.

Is there a shortcut for entering data? YES! If you want to repeat the entry
in a specific field from the previous record, click on the field in the new
record, then click on both CTRL and the apostrophe key. If this isn't the
entry you want, simply delete the entry and enter the correct data.
An example: if you want to repeat the
Group ID number for multiple individuals, open a new individual volunteer intake
screen, click on the Group ID field, then CTRL ' at the same time and the
previous group id number will appear. This can also be used in the
timesheets.
This works for any field in ACCESS or EXCEL.
